Assistant to Chief Executive and Chairman

The All England Lawn Tennis Club, the home of the Wimbledon Championships, needs to recruit an experienced Assistant to the Chief Executive and Chairman on a one year fixed term contract

Duties will include diary management for the Chief Executive together with ad hoc projects for the Chairman in addition to providing support for the PA to Chief Executive and Executive Assistant to Chairman.

The contract is anticipated to commence in March 2013 and working hours are normally Monday to Friday 9am to 5pm.  During the Championships fortnight, extra days are required, and the working hours may vary.

TITLE:                                     Assistant to Chief Executive and Chairman

REPORTS TO:                         Chief Executive and Chairman

JOB PURPOSE:                       Diary management for the Chief Executive together with ad hoc projects for the Chairman and to provide support for the PA to Chief Executive and Executive Assistant to Chairman

Duties  

  • Secretarial/PA duties including Word processing, producing Excel spreadsheets, PowerPoint presentations

 

  • Diary management for the Chief Executive (electronic)

 

  • Taking minutes at meetings

 

  • Updating invitation lists (eg Cocktail Party for the Chief Executive)

 

  • Organising meetings, lunches and dinners as required including refreshments, booking meeting rooms, notifying security and organising parking

 

  • Meeting and greeting VIP guests

 

  • Travel arrangements (UK and International) for both the Chief Executive, Chairman and Committee including organising visas

 

  • Screening calls and handling queries appropriately

 

  • Accurately documenting clothing samples

 

  • Ad hoc project work for the Chairman

 

  • Photocopying, filing, collating paperwork for meetings, assisting with mailouts

 

Other  

  • Providing support to the PA to Chief Executive and Executive Assistant to Chairman during absence due to annual leave, sickness absence, scheduled days off

 

  • Assisting Committee and Members when needed

 

  • Supporting other departments when needed 

 

  • Any other duties within the scope of the post

 

Note:

This is a one year fixed term contract.

Usual working hours are Monday to Friday 9am to 5pm.  During the Championships fortnight, extra days are required, and the working hours may vary.

Flexibility will be required to meet the demands of the role.
